After a free, initial consultation, we propose a flat event coordination fee that fairly reflects your project's scope and scale. This is where we take the time to learn about you and the event you have in mind. We discuss your hopes and desires, as well as any limiting factors, such as event date or budget. [/efstoggle] [efstoggle title="PHASE TWO: IDENTIFY THE TALENT"] Based on what we learned in Phase One, we develop a creative vision for your event, considering all aspects, from décor to mood to menu. To realize this vision, we tap into our exclusive list of proven vendors and identify the ones who are best-suited for your event. If you have desired vendors in mind, we also research those options for you and gather bids to start filling in some hard numbers. We typically present our Phase Two research about 1 to 3 weeks after the Phase One meeting. Sometimes we draft "good, better and best scenarios" to offer our clients a few options in pricing and the finer details. This phase can include, but is not limited to, creating and enforcing a production schedule; drafting and monitoring a budget; scripting the run of show (timing of the event itself); and lining up details such as audio-visual needs, décor, catering and talent. - Distribute final timeline and venue information to vendors one week prior to event.
- Coordinate rehearsal, if applicable.
- 9 hours of service on the day of the event.
- Serve as point of contact for hosts, vendors and guests.
- Work with vendors to ensure successful delivery and set-up (products, catering, décor, linens, rentals, etc.).
- Manage banquet staff to ensure staging complies with floor plan.
- Attend sound check with band musicians and/or deejay.
- Work with emcee to establish the timing of toasts, speeches, presentations, etc.
- Direct guest transportation, arrival and seating.
- Clean, break down and pack up equipment.
- Ensure event space is returned to original condition.
- Distribute final payments to vendors.
